What this policy covers
This policy explains how we use personal data collected through this website, including when you send us an enquiry, book a consultation or browse the site. If you become a client, we will give you a separate privacy notice that explains how we use the information we hold to provide our services.
The personal data we collect
- Enquiry and booking details: your name, email address, telephone number, organisation and the contents of your message.
- Correspondence: records of emails, calls, WhatsApp messages and meetings with us.
- Technical data: your IP address, browser type, device and the pages you visit, collected through cookies and similar technologies.
How and why we use it
- To respond to your enquiry and arrange consultations or quotes. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interests in running our business.
- To keep this website secure and to understand and improve how it is used. Our lawful basis is our legitimate interests, or your consent where the law requires it for cookies.
- To send you information about our services, only where you have asked for it or where the law allows. You can opt out at any time.
- To comply with our legal and regulatory obligations.
Who we share it with
We do not sell personal data. We share it only with service providers who help us run the website and our business, and with professional advisers or authorities where we are required to do so. We use Microsoft services, including email, to receive and respond to enquiries, and enquiry details may be recorded in our customer relationship management system, Pixie CRM. If you become a client, we also use accounting and tax software, including TaxCalc, Nomi, Capium, Xero, QuickBooks Online and FreeAgent, as explained in the privacy notice we give to clients. We require our providers to protect your data and to use it only on our instructions. If you message us on WhatsApp, your message and telephone number are also processed by WhatsApp (Meta) under its own terms, so please do not send confidential documents that way and use our client portal instead.
Transfers outside the UK
If a provider processes personal data outside the UK, we make sure appropriate safeguards are in place, as required by UK data protection law.
How long we keep it
We keep enquiry details for [period] unless you become a client, in which case we keep them in line with our client privacy notice. We keep technical data for as long as is set out in our cookie information. [Confirm retention periods.]
Your rights
You have the right to ask us for a copy of your personal data, to have it corrected or deleted, to restrict or object to how we use it, to ask for it in a portable format, and to withdraw consent at any time where we rely on it. To exercise these rights, contact us using the details above.
Complaints
If you are unhappy with how we have used your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
